Volunteer

WE NEED YOU!

We need over 7,000 hours of volunteer help! Our committee of volunteers begin the process in the summer and increase the amount of hours and volunteers required as the event grows closer. On the day of the event, we need approximately 300 volunteers from early in the morning until late in the evening. The day after the event, we also need a crew of about 15 people to clean up the school cafeteria. Respectfully, we do ask you to sign up for 2 or more trains to meet our enormous needs.

Please tell us what you’re able to do from the following list:

  • Pre-Event Volunteer (FULL) There are many things to do prior to the event organizing or picking up any number of things that we need for the event.  It lends itself to many time constraints that people may have.
  • Event Setup (FULL) Just as it sounds, we get together in the morning on Friday the 2nd to set up.  We need a mix of men and women to do decorating and heavy lifting.  We start mid morning and are done by mid afternoon.  Any time you can spend during that time is appreciated.
  • The Polar Village (AVAILABLE) “Man” the Polar Village for merchandise / food sales.
  • Operations (FULL) The behind the scenes guys who restock the trains with food and material for the next ride. They take trash and ferry cocoa from the school to the train station.  Finally, they assist with final clean up after the last train as we have limited time to get all our stuff off the train and back to the school.
  • Clean Up (AVAILABLE) Right after the last train, assisting with ops for final clean up of last train as well as breaking down the polar village entirely.  No small task, men and pick ups appreciated.
  • Platform Managers (FULL) Organize and direct the crowd before and after to each ride.  This allows passengers to get off safely, provide window for ops to clean and restock trains, and allow the next group on to the platform to board train.  There is always a lead person for each train.  They can give new folks direction. Asked to “dress the part”  and yell “all aboard” but that’s about it for the acting component.
  • Ticket Check-in (AVAILABLE) scanning tickets with smartphones / ipads / laptops to facilitate our new ticketing software.
  • Next Day Cleanup (FULL) Much to tidy up and reorganize for next year.  Starts at the school around 10 am – 1 pm. Sunday the 4th.
  • Food Servers (AVAILABLE) 2-3 per car per train = we need MANY!  We provide chefs coats and hats.  You will be serving the cocoa and cookies on the train.  Very simple.  Fun to do with a group of friends.
  • Readers (FULL) As you can guess, you will be reading “The Night Before Christmas”.  Pretty simple but does require and little pizazz as the book is short and could be dull without a little flair.
  • Conductors (FULL)  The most important person on the train even over the Big Guy.  This is something any one can do, even first timers. BUT… this is a position that needs to be taken seriously with some practice if a rookie.  You will be the face of the event for the vast majority of the time.  We will be glad to help new folks but, put simply, you can’t “wing it” at the last minute.
  • Musicians & Characters (AVAILABLE) Folks to interact with patrons while in costumes at the Polar Village.  We really need a few guitar playing musicians to sing and play on the trains.
